A group file is not payment-free until departure. Deposits, a balance date and a name deadline are three separate things, and your contract sets all three.
Group files are not payment-free until departure. Carriers use a deposit, a balance due date and a name deadline, and those three dates are separate from one another. Published examples exist and are useful for planning the shape of the commitment. They are not your terms. Every figure that governs your programme comes from your own booking confirmation and contract, which override any public page including this one.
The milestones, in order

One carrier's published example
American Airlines publishes its group and meeting travel terms. This is what that one document says, quoted so you can see the shape of a real deposit schedule.
- Deposits are set by the highest class of service on the itinerary: $100 economy, $150 premium economy, $200 business, $400 first.
- Where the amounts on the booking confirmation are stated in local currencies, those are the amounts that apply.
- A booking made less than 30 days before departure may require no deposit at all, because the full balance falls due instead.
- The full fare balance is due no later than 30 days before the first passenger travels, or on the final payment deadline shown on the confirmation.
- A group there means at least 10 passengers in economy or mixed cabins, or 7 if everyone is in a premium cabin.

What finance and organisers ask.
- Are the American Airlines figures universal?
- No. They are one carrier's published example, taken from a document dated 2020. Other airlines set different amounts, and some files carry no deposit at all.
- What happens if we book close to departure?
- On American's published terms, a booking made less than 30 days out may carry no separate deposit because the full balance is already due. Other carriers handle it differently, so check your own file.
- How do individual tickets differ?
- They are normally paid in full at purchase, with names fixed at the same moment. There is no deposit stage to plan around, and no name deadline to work back from.
- Who sets the deadlines that actually bind us?
- Your group booking confirmation and contract. If a published page and your confirmation disagree, the confirmation wins.
- Can we pay in instalments?
- On some files yes, against nominated reservations. It is configured when the file is opened rather than added later, so raise it at the quote.
