Flights for 10, 15 or 20 People: What Changes

Flights for 10 people or more on the same routing count as a group booking. At 9, most people book public tickets and that is usually fine. At 10, you can ask for a group block: seats held before names, one invoice, and name changes before ticketing under the rules on the quote. At 15 or 20, the case gets stronger, because more seats ride on one fare and one deadline. A group fare is not always cheaper. It is a different product, and you should compare both.

Group at the gate

How many people make a group ticket

Ten. Easy Group Flights works with 10+ passengers on the same routing. Same routing means the same flights, the same dates, the same cabin. Ten people flying from five cities on four different days are not one group. They are several small bookings that share a destination.

If part of the group joins from another airport, that can still work. It needs a different setup. Group flights from multiple cities covers how that is built.

Count everyone who needs a seat. Say on the request if anyone is an infant or a child, because the quote has to state whether a lap infant counts toward the ten.

Why 9 people usually book normally

With 9 people, you are under the group threshold. Book public tickets on the airline site or through a normal agent. Do it early, in one transaction if the site allows it, so the whole party lands on the same fare bucket.

The trade-off is that public tickets need names at purchase. If someone drops out, you are dealing with that airline's change and refund rules for that ticket. Nobody holds seats for you while you collect passports.

If the headcount is 9 today and likely 11 next month, say so. Ask for a group quote on the likely number. Do not buy 9 public tickets and then try to bolt 2 more onto a group later. They will not be the same booking.

The numbers do not change the product. They change how much rides on each decision. At 10, one dropout can take you under the minimum. At 20, three dropouts still leave you a group.

Flights for 10 people: the edge case

Ten is the line, and lines are fragile. If one person cancels, you are at 9. Before you pay a deposit, ask what happens if the group falls under 10. The answer could be that the fare holds, the fare is repriced, or the block is released. Get it in writing.

At 10, compare the group quote against public fares on the same flights. Sometimes public tickets win on price. The group fare can still be the better choice if you do not have names yet, or if you need one invoice for a company or a school.

Booking flights for 15 people

Fifteen is where most organisers stop being able to manage the trip with public tickets. Fifteen passport names, fifteen card payments, and fifteen sets of change rules make a lot of admin. A held block lets you confirm the seats first and collect names by the deadline.

This is a common size for work retreat trips, small wedding parties, and sports squads with staff. Set the name deadline on your own calendar a week before the quote's. People are slow to send passport details.

Flights for 20 people and more

At 20, the risk is no longer one dropout. It is the payment schedule and the name list. A missed deposit date can release the block. A late name list can mean the airline will not ticket on time.

If cost is the main question at this size, read the cheapest way to fly a group of 20. It walks through when a group fare beats public tickets and when it does not.

Large school groups and teams have extra steps. Consent forms and selection change the list late. Start from school trips or sports team trips so the brief has the right fields from the start.

What to send for a quote

Send these six things and you will get a quote back in about 2 hours:

  • Headcount, and how sure you are of it
  • Departure airport, destination, dates, and how flexible they are
  • Cabin
  • Infants and children, if any
  • Who pays: a person or a legal entity for the one invoice
  • When you will have the final name list

"About 15, maybe 20" is not a block size. Give a number you can defend, and say what the range is.

FAQ

How many people do you need for a group flight booking? Ten or more passengers on the same routing. Under 10, public tickets are usually the right path.

Is a group fare always cheaper than booking 10 tickets online? No. Sometimes public fares are lower on the day you check. A group fare gives you seats held before names, one invoice, and name changes before ticketing under the rules on the quote. Compare both.

Can we book for 15 people without everyone's names? Yes. A group block holds the seats first. Names are due by the deadline on the quote, and name changes are flexible before ticketing under the quote's rules.

What happens if our group of 10 drops to 9? Ask before you pay the deposit. The airline may keep the fare, reprice it, or release the hold. Adding or dropping passengers on a group booking explains the headcount rules.

Should 20 people book in two groups of 10? Usually not. Two files mean two sets of deadlines and a higher chance that one falls under the minimum. Ask for one block of 20.

How fast can we get a quote? In about 2 hours, if the request has dates, airports, headcount and cabin. Get a group quote.
