Adding Passengers to a Group Booking
Adding passengers to a group booking is a headcount change, not a name swap. Ask if a 10+ block can grow, shrink, or must be re-quoted.
Adding a passenger to a group booking is not a name change. A name swap keeps the seat count. An add or a drop changes the block the airline is holding, and the fare may not survive it. Easy Group Flights is an IATA desk for 10+ passengers. Before you promise a late guest, a substitute player, or a colleague a seat, the file has to say whether the block can grow, whether it can shrink, and what happens if the count falls under the minimum. Silence on the quote is not a yes.

A name swap does not grow the block
Name flexibility is about who sits in a seat you already hold. Headcount is about how many seats the airline agreed to hold. Those are different instructions. Flexible name changes does not cover a guest who decided to come after the deposit, a player called up from the bench, or a colleague added after HR closed the list.
If you only send "please add Anna", the desk cannot tell whether you want one more seat, a replacement, or a child who may not need a seat. Say the new total, and say who is an infant or a child.
What the quote must already say
| Name change | Add seats | Drop seats | |
|---|---|---|---|
| What changes | The person, not the count | The block gets bigger | The block gets smaller |
| Easy case | Before ticketing, if the quote allows the swap | Airline still has space and accepts the add on these terms | You release seats before the reduction date on the quote |
| What people assume | Any rename is free after ticketing | The original fare still applies | You can fall under 10 and keep the same deal |
| What to send | Old name, new name, passport spelling | New total, date, cabin, child or infant | How many seats you are releasing, and by when |
Do not invent a reduction percentage. Deposits and payment dates hold the block you bought. They do not promise that a smaller group keeps that fare.
Dropping under 10 is a different product
Easy Group Flights prices 10+ passengers on one departure. If the live list falls under that minimum, you may no longer have a group block. Ask, before you collect money from the remaining people, what the airline will do: keep the fare, reprice, or release the file. Do not discover that on the week of departure.
Schools lose pupils to consent forms. Start at school trips. Weddings lose guests to RSVPs. Start at wedding trips. Sports lose players to selection. Start at sports team trips. The vertical changes who drops out. It does not change the rule: the new headcount has to be on the file.
An add after ticketing is a new ask
Space that existed at deposit may be gone. A late add can be the same block, a higher fare, or a seat the airline will not sell into the group at all. How airline group fares work is the lifecycle. The add is a point inside it, not a favour the check-in desk can grant.
Put the legal entity on the brief if finance must pay for the extra seats. A personal card "just for two more people" is how one invoice becomes three.
FAQ
Can we add two people after the deposit?
Only if the airline accepts two more seats on this file. Ask for the new total in writing. Do not tell the guests the original fare is locked until that reply exists.
What if we drop from 14 to 9?
Nine is under the 10+ block this desk sells. Ask whether the fare survives, gets repriced, or the hold is released. Do not assume the deposit bought a smaller group at the same price.
Does a lap infant count as an added passenger?
Say the infant on the request. Do not assume a lap infant takes a seat, or that the infant counts toward the minimum. The quote has to say which.
A wedding guest confirms after we paid the deposit. Same rules?
Yes. RSVP lag is still a headcount change. Use wedding trips for the brief, and do not promise the seat in the group chat first.
After tickets are issued?
Treat it as a new request. Post-ticket adds and drops are airline-rule dependent. The pre-ticket window is the one you can plan. After issuance, get the answer before anyone buys a separate public ticket "to be safe" on a different flight.
Next step?
Get a group quote with the current headcount, the likely adds or drops, and the date you will know. "About 12, maybe more" is not a block size.
